Information for Key Operators in the Copier Program

Summary: Learn responsibilities for Key Operators.

Key Operators are designated contact people at copier locations who coordinate with the Copier Program for supplies and service, and are knowledgeable of the copier’s operations enough to assist others, add paper, toner and staples, and perform basic troubleshooting.

Please inform us if there is a change in the designated Key Operator. We need to know the current contact name, phone, and email address in order to keep in touch with members of the Copier Program, respond to their needs, and supply current information.

Contact:

  • For copier supplies, email: ps_copiers@ucsc.edu. Write "supplies request" in the subject line. Orders for paper and supplies (toner and staples) that are received by noon will typically be delivered the next day. Please email well in advance whenever possible, and keep an extra supply on hand.
  • For copier service and questions call 459-5799 or email: ps_copiers@ucsc.edu. For service calls, supply the location of the copier, the model, a clear description of the problem, and the Fault Code if available.
  • For requests for new copiers or to request a copier move call Jennifer Clinton at 459-3742 or email: jsclint@ucsc.edu.

Paper supplied by the Copier Program is for Copier Program copiers only and not for your department’s printers, fax machines, or personal use. We track paper orders, inventory and usage. Paper shortages may be billed at a higher rate than Print Services’ current rate. Please notify us if your paper is kept in a locked cabinet, so our staff can coordinate with the Key Operator to obtain a correct inventory count at the time meter readings are taken.

Recycle toner cartridges. Most empty toner containers can be recycled. Look for the recycle symbol on the container, and drop in any recycling bin for bottles and cans. Some toner boxes include pre-paid or FedEx shipping labels for easy return to vendor for remanufacturing. For these simply re-use the replacement cartridge box as a return package.

Empty inkjet or laser jet cartridges can be recycled through UCSC Residential, Family & Early Education Services. Contact them for details at 459-5664. We encourage recycling! See Ink, but not toner, cartridges recyclable on campus.

Training is highly recommended. Copier Program staff will provide basic training for key operators and end users upon request. To schedule comprehensive training on copiers for users in your area, contact the Copier Program to make arrangements for you, at 459-5799 or 459-3742. Our vendor's repressentative will be happy to show you all your copier’s capabilities, basic troubleshooting and maintenance. We suggest that you do this as soon as possible after installation of your new copier.

Become familiar with the MSDS (Material Safety Data Sheet) kept in the front of the copier manual and with the instructions which come with each type of toner cartridge. These two documents contain very important instructions for safe handling and emergency situations regarding the toner cartridges.

Basic Troubleshooting

  • If the copier still shows that there is a jam after you have cleared it, switch off the copier main power for 5 seconds and then switch back on. This will reset any false jam signals.
  • Never add toner unless ADD TONER is displayed in the control window. (Light copies can be caused by other copier parts.) Call us if this is the first time for you to add toner.
  • To prevent paper jams and subsequent down time, run transarencies (high heat type E or equivalent only) and labels through the by-pass tray only. Only use labels designed for use in copiers. Do not use labels designed for laser printers only.
